Online and Offline Payments
Memberela accepts online credit card payments for memberships, event registrations, donations, retail purchases, and other costs. There is a built-in merchant account, but you can also use your own. Memberela also allows administrators to record check and cash payments, as well as print invoices for members to mail in. Memberela also accepts ACH and other payment methods.
Integration with your Bank Account(s)
Memberela has two payment options: “Premium” and “Basic”. In the “Premium” option, Memberela is fully integrated with one or more club or chapter bank accounts, allowing us to automatically send cash collected through the website to you every 10 days. Credit card processing fees and monthly hosting costs are also collected via this interface. For multi-tier organizations, Memberela can even automatically transfer funds to chapter bank accounts. In the “Basic” payment mechanism, your linked credit card processor account “pays out” funds directly to your bank account. The credit card processing dashboard allows you to set the payout schedule, quantities, and so on.
Transaction and Payment/Credit History
Memberela monitors transactions and payments using sound accounting standards. The system accepts several payment methods, including partial payments, credits, and financial accounting. Members and administrators can see a full history of all transactions, payments, and credits.
Integration with QuickBooks
Memberela is not a comprehensive accounting solution for your club or group. However, we offer optional integration with both QuickBooks Online (QBO) and QuickBooks Desktop (QBD), allowing transactions, payments, credits, fees, and “customers” (members and non-members) to be exported from the system and imported straight into your QuickBooks database. (This option incurs an extra monthly cost of $20.)
Donations
Set up various funds into which members and non-members can make one-time or regular donations. The system also allows you to match corporate gifts and track non-cash donations.
E-Commerce Storefront

Forum messages are organized into threads and can include attachments, embedded pictures, links, and complete formatting. Forums also have a robust search function, a full array of forum setting tools, and thread and message management features.
Chat
On both the mobile app and the website, Memberela provides a strong real-time Chat function. Create an unlimited number of chat “channels” that allow for immediate messaging to all channel users, avatars, emoticons, links, photographs, likes, and replies.
Meets
The Meets feature on the mobile app and website allows members to request to meet with other members in their near vicinity. Members have complete control over their visibility and the time they are available to meet.
Blogs
Memberela enables clubs to create an unlimited number of blogs, each managed by a skilled member, and includes full support for formatting, links, embedded photographs and videos, comments, and other popular blogging features.
Surveys
Memberela has a surveys tool that can handle multi-page, multi-question surveys. Each answer can be in one of more than 25 possible formats. The surveys tool includes unique parameters that enable a survey to be utilized for club elections. The system also enables Quick Polls, which are one-question surveys with answers displayed quickly.
Ad Hoc Forms
Create an unlimited number of ad hoc forms to collect information from members and non-members. These single-page forms can have as many questions as you need, with answers in over 25 distinct formats. Forms can ask for attachments, and you can potentially charge a one-time fee for submitting a form.
Classifieds
Allow members and non-members to submit classified advertising for products they wish to sell. Optionally charge a fee to post and renew an item, with complete control over how long it is visible and how many times it can be renewed.

Contact Log / CRM Module
This optional module enables administrators to track all communications with members and non-members, including emails, phone conversations, faxes, letters, meetings, and so on. You can provide a follow-up date, category, description, status, responsible staff person, and priority for each contact. Reports and exports make it simple to manage this information.
Continuing Education and Certification
The Continuing Education and Certification module enables professional associations to track the various ways in which members (and, optionally, non-members) can maintain their certifications by earning CE credits/units/points. The module begins by describing one or more certificates and the units required to obtain and maintain them. You can specify fees for tests, renewals, study materials, and classes. You can also choose the length of time a certification is valid before it must be renewed. Then you outline the many ways in which members can earn credits/units/points, such as taking classes, working in their professional sector, producing papers or books, presenting at conferences, serving on association committees, and so on.
After configuring the module, members sign up for certifications. They can submit their professional activities in numerous areas for review by the association. Supporting documents can also be uploaded. When a sufficient amount of credits/units/points are acquired, the certificate is granted or renewed, and it can also be printed from within the software.
Administrators can examine and approve certifications, as well as print certificates, welcome letters, and mailing packets, using the module’s comprehensive array of capabilities. It also includes a comprehensive set of tools to help administrators examine and approve continuing education credits/units/points. These can be acquired in a variety of methods, including attendance at pre-approved classes.
E-Learning
This optional module enables organizations to create a certificate that members may acquire by watching videos and then taking an online quiz after each video. Videos are uploaded to your Memberela website, YouTube, or another comparable service. Each question is created with the Ad Hoc Forms module and then linked to a movie. Videos can be viewed and quizzes completed in any sequence. When all films have been seen and all quizzes have been passed, the user has earned the certificate, which they may download from the website and personalize with their name and date of completion.
Jobs Board
This module enables professional and trade associations to list open positions that members (and potentially non-members) can access. The system only permits members to post jobs, which may or may not be displayed immediately. A price may be charged to post a job, and jobs will be displayed for a set length of time, with the opportunity to renew the ad. The module does not presently allow non-members to directly publish jobs.
Learning Stream Integration (Call for pricing)
Integrate with Learning Stream’s professional training and certification tools to develop and automate online training more easily than ever before. This implies less manual labor for your admins and a better experience for your members. With this integration, you can create interesting assessments with a variety of question kinds, automate grading for immediate results, and tailor exams to specific training objectives. Chapters, Districts and Regions
Memberela offers robust assistance for multi-tier organizations that include chapters, districts, and regions. We provide two distinct alternatives that reflect the many ways multi-tier clubs and associations are organized.
Option 1: One Website
In this model, there is one website belonging to the top-level club. Members join at the top level and are then assigned to one or more chapters. The hierarchy can have up to three levels below the parent club: chapters grouped into districts, which in turn can be grouped into regions. The website and database belong to the parent organization which manages and controls the subgroups directly.
In this model the parent club defines member types and dues, including chapter, district and region dues. You also have full control over how many chapters you can join. Each subgroup can have its own bank account and Memberela can automatically distribute fees collected for each subgroup into its account. You can have subgroup administrators who can define events, committees, document libraries, web pages, photo albums, surveys, and discussion forums just for the members of that subgroup; they can also run reports and send emails and text messages only to the subgroups they manage. Ad Hoc Reports also fully support subgroups.


Option 2: Multiple Websites
In this paradigm, local chapters are self-contained, with their own websites and databases. Members join at the local chapter level, with each chapter responsible for determining member kinds and dues. Members log in to that website to update their profiles, participate in discussion boards, register for events, make payments, and so on.
However, these particular chapters may be part of a bigger organization, serving as a “parent” by collecting members, events, conversations, and so on. This parent organization will have its own website, and members of the individual chapters will be able to log in with the same credentials to register for events, serve on committees, participate in forums, and so on. The top-level organization maintains a virtual database. Administrators at this level can access (but not alter) member contact information, create committees and discussion forums, share events, share the member directory, and so on. The top level can also send out mass emails and text messages to all or specific members of the hierarchy.
Every chapter can utilize the same template to reinforce a consistent brand and identity throughout the organization. This design can have a panel that is managed by the parent organization but viewable on the websites of each local club.
Option 2 allows each chapters to configure their events to appear on the top level calendar, while the top level can display their events on the calendars of all lower level clubs. We can also set up fund-sharing arrangements so that a portion of chapter dues are sent to the top level organization.
Option 2 adds powerful Content Syndication options, which are produced at the top level and automatically shared with all lower level clubs:

Mobile App
Mobile App
The Memberela Mobile App was created from the ground up for smartphones and tablets running both Apple iOS and Google Android. It is just for members, who will download and install the software from the Apple AppStore or Google Play on their respective devices. Members log in once using the same credentials they use on your website, and if they select the “Remember Me” option, they will be able to login automatically after that.
Channels
The mobile app is organized around “channels,” which are often set by administrators using the online Control Panel. You can have as many channels as you wish, and they can be defined in nine different ways:
- All active members
- Member opt-in
- Administrator defined
- Based on an interest group
- Based on a committee
- Based on a member type
- Based on a subgroup (chapter, district, region)
- Based on the answer to an additional member data question
- Based on an individual event
Channel-based Features
After logging in, members choose a channel from a popup list and gain access to five channel-specific functions:
- Meets – uses the geolocation features of the member’s smartphone to connect them with other channel members. Member involvement in Meets is fully optional; if they are concerned about privacy, they simply do not make themselves accessible. However, if members are in a time and place when they are willing to meet other channel members, they can make themselves visible for a set amount of time.
- Directory – displays a list of channel members, allowing them to look each other up. This function follows the visibility settings specified on the website. It also works with email, texting, and phoning from the user’s mobile device.
- Chat – This is a live chat capability similar to those offered by Facebook, WhatsApp, Slack, and other popular platforms, but just for users of a certain channel. Chat displays a series of messages made by channel members, each with the member’s avatar or initials, name, and the date/time the message was posted. Members can post messages up to 500 characters long, and each message can contain an image, external links, or connections to an event or poll. The Chat feature also sends live notifications to your device anytime new messages are added to a channel chat. There’s also a “Like” button and administrative tools for editing or deleting improper messages.
- Events is a channel-specific calendar. It also allows participants to create their own QuickEvents and share them with other channel members.
- Polls – This is a short poll tool that allows channel members to vote on matters that matter to them. It also allows members to build their own polls and share them with other channel members.
Improved User Interface and User Experience
The user interface has been updated, with a new pull-out menu at the top. This menu can include a bespoke app menu that appears atop the club’s online menu, as well as app-specific functionality. This menu is defined on the website’s Control Panel – Website – Setup – Menus page.
Improved channel selection and display. We now support configurable icons for each channel. The active channel now has an indication.
The logo from Mobile App Options is now displayed on the slide out menu, increasing brand identification.
The Remember Me function has been enhanced so that it now works dependably on the most recent versions of iOS and Android.
We enhanced the user experience for the member Profile screen, allowing members to change their personal information more quickly via the app.
Setup
After a quick setup in the control panel, your members will have access to the mobile app. When members initially log into the app, they will be prompted to provide their email address and password before selecting your organization.
Messaging and Notifications
- Direct Messaging – After opting in to receive direct messages, members can message each other via the app. They can also form ad hoc groups and send messages to several persons simultaneously. Members can join or leave a group, report offensive communications, and block members from whom they do not wish to receive messages.
- In-App Notifications – Administrators can send mobile notifications to members who use the app via the website. This interface is comparable to email and text messaging. It allows you to design elaborate distribution lists that can be sent to specific members or excluded from other member groups. Members will also receive device notifications when new direct messages arrive or when they miss messages in chat channels.
- The member notification center allows members to access their entire history of alerts. Members are notified about direct messaging requests, unread messages, general club notifications, and unread chat messages.
Your Website on the Mobile App
The same features seen in the app are also available on your website! For example, individuals can simply join in channel chat from their desktop or laptop computers by logging into your club’s or association’s website. The website also allows users to access direct messaging, chat, meetings, and notifications.
The mobile app also makes your entire website accessible from a mobile device, including all custom pages, modules, the member menu, a member’s individual profile, the renewal wizard, the event registration wizard, and numerous other screens. The appearance and feel of all screens and modules have been enhanced for mobile devices.

Security, Privacy and Ownership of Data
Comprehensive Security
Memberela security implementation exceeds all national and international standards and is the most complete of any company in the sector. (See below for information on GDPR compliance.)
Physical and Network Security
The Memberela servers are cloud-based and hosted by AWS. The servers are behind an extremely secure firewall. AWS provides our customers with a dependable network, enables us to scale quickly and easily as needed, and outperforms our former physically hosted solution in terms of dependability and security. Employee network and server connections are monitored and accessible via a secure VPN.
Redundancy
The system includes multiple redundancies. The data is backed up nightly, and the database servers are backed up in real time. Regular snapshots of the servers are taken to guarantee quick recovery. Database backups are replicated across regions and Availability Zones to provide data durability and prevent data loss caused by hardware failure or disasters.
Passwords Encryption
Passwords for members and administrators are properly encrypted with one-way hashing and salting algorithms. We can reset them but not read them (in case a member uses the same password for many websites). Credit card data is encrypted in the database using Triple DES. Memberela is a Level 2 merchant and fully PCI (Payment Card Industry) compliant. A recent PCI Compliance certificate can be provided upon request.

Cookies
Memberela does not employ third-party cookies. We only use session cookies and a few first-party cookies to remember each user’s specific preferences, such as the “Remember Me” option for automatic login.
HTTPS Support
Memberela websites use https:// on all pages. Member and administrator interactions with Memberela cannot be sniffed or intercepted. We also require a minimum of TLS1.2 and support the latest TLS 1.3 specification.
Memberela now allows clubs and associations to acquire SSL certificates from us, which are automatically placed on our servers, ensuring that your own domain name shows in the address bar for all users across the website.
Memberela is the only association management vendor to achieve a “A” rating from the Qualys SSL Labs testing service.

Members Have Full Control of Their Data
Members have complete control over the visibility of their data, including the ability to receive emails, appearing in the member directory, and what information is displayed. Of course, you can totally disable the membership directory, ensuring that member data is only viewable to authorized administrators.
You Retain Ownership of Your Data
Memberela is an online service provider (OSP). As a result, you always have full ownership of your data. Memberela will never sell, barter, trade, or otherwise disclose member or non-member data to third parties. We will never contact your members or non-members directly unless it is part of your organization’s legitimate business (such as sending members a scheduled renewal reminder). And we never place advertisements on your website.
Privacy Rules and GDPR Compliance
Memberela fully complies with the European Union’s General Data Protection Regulation (GDPR) enacted in May 2018. However, we also give the resources necessary to ensure that your club or association is in compliance. Memberela allows you to choose a Data Protection Officer and decide how member and non-member data will be gathered, stored, and processed. Members and non-members must consent to their data being stored and processed in the United States (on Memberela servers), receiving transaction messages from your organization, and sharing their data for official club reasons. Memberela also provides an interface for responding to “Forget Me” requests.
Unlike other AMS vendors that just protect themselves, Memberela does not require you to speak with lawyers or specialists to properly comprehend these restrictions (a complex and daunting undertaking). Memberela has worked hard to safeguard you under GDPR.

Currencies
You can alter the currency symbol to anything you like in up to four characters, so that both members and non-members understand that their transactions will be processed in their local currency. For example, an Australian club or association may use the currency symbol $AU, $AUS, or AUD.
Date, Time and Number Formats
Memberela will automatically recognize the user’s local date and time formats (mm/dd/yyyy, yyyy.mm.dd, or dd/mm/yyyy). Users in Europe will see the period as a thousands separator and the comma as a decimal separator (which is the opposite of how it is used in the United States and elsewhere). This also applies to international members of a club or association based in the United States.
Metric Units
The platform uses metric units of measurement for organizations outside the US.
Event Calendar Holidays
If you enable the Holidays feature in the event calendar, the system will display country-specific holidays for the United States, Canada, Australia, and the United Kingdom.

Time Zones
Memberela includes powerful time zone support that allows you to accurately track the local time for important activities like membership signups or renewals, event registrations, event close dates and times, forum posts, volunteering assignments, donations, scheduled resources, survey close dates and responses, transactions and payments, contact requests, and more. Each organization has a default time zone, but members also have a local time zone, which is very significant for national organizations with members all across the United States or the world. A time zone will be set automatically at both the club and member levels based on the specified nation and state, however it can be altered if a country or state has more than one time zone.
Address Panels
All address panels in the system are fully responsive to the specified country.
Tax Support
Memberela fully supports the calculation and tracking of Sales Tax, VAT, and GST for memberships, event registrations, and other transactions that may be subject to taxation.
Paper Sizes
Memberela completely supports producing reports on international A4 paper. Mailing labels are also available in the normal A4 sheet format.
International Character Sets
Many areas of Memberela have been upgraded to properly accommodate international character sets, although the process is ongoing.
